Privacy Policy (OMG Project's / OMG Projects Bots, Dashboard, and Tools)

This Privacy Policy explains how OMG Project's (also referred to as "OMG Projects", "we", "us", "our") collects, uses, stores, shares, and protects data when you use:

  • OMG Project's Discord bots (including Killfeed Bot, Helper Bot, Ark Bot, Utility Bot, and Guild Bot)
  • The web dashboard and tools at https://www.omg-projects.co.uk

By using these services, you agree to this policy.


1) Scope and Roles

This policy covers processing performed by OMG Project's for:

  • Bot features, slash commands, automations, moderation actions, and configuration
  • Dashboard login, dashboard pages, and tools pages
  • Subscription/entitlement workflows (including Patreon linking and activation lifecycle)

Third-party platforms (including Discord, Patreon, Nitrado, hosting providers, and other server providers) process data under their own policies.


2) Data We Collect

A) Discord account and guild data

We may process:

  • Discord user IDs, usernames, global/display names, discriminator (where available), avatar URLs
  • Guild IDs, role IDs, channel IDs, message IDs, permissions/membership context needed for access control
  • Dashboard authorization context (for example, whether your account can access a guild or page)

B) Authentication and session data (dashboard/tools)

We process:

  • OAuth state and target cookies for login flow
  • Session cookies and session metadata for authenticated access
  • Login telemetry used for security/audit (for example masked IP, user-agent, timestamp, target dashboard)

Current implementation includes short-lived OAuth state and target cookies and an authenticated session TTL of approximately 8 hours.

C) Guild and bot configuration data

We store operational configuration such as:

  • Module settings (channels, roles, toggles, thresholds, economy settings, logging options, alerts, page access mappings)
  • Bot feature JSON/config files and guild-specific settings
  • Command/page role-access allocations configured by admins

D) Game/server telemetry and log-derived data

For supported integrations (for example DayZ/ARK workflows and Nitrado-linked server operations), we may process:

  • Parsed event logs (kills, deaths, sessions, economy events, positions, alerts, zone events, admin actions)
  • Player names/gamertags and account-link mappings
  • Aggregated outputs (leaderboards, timelines, metrics, map/tracker summaries)

E) Integration credentials and identifiers

Where required by enabled features, we may process:

  • API/service identifiers and tokens provided by admins
  • Provider account/service identifiers (including Nitrado service references where configured)
  • File access credentials required for server file operations (for example provider/API-returned FTP details)

F) Patreon and subscription data

When Patreon integration is used, we may process and store:

  • Discord ID to Patreon account link
  • Patreon user ID and Patreon member ID
  • Patreon patron status and tier/entitlement mapping
  • Grace-period state and grace expiry timestamps
  • Renewal markers used to prevent duplicate cycle extensions
  • OAuth access/refresh tokens and token expiry used to refresh Patreon identity
  • Billing/subscription metadata returned by Patreon identity payload when available, including fields such as pledge start date, last charge date/status, next charge date, entitlement amount, will-pay amount, and lifetime support
  • Patreon profile metadata returned by Patreon identity payload when available, including fields such as name, email, vanity, and profile URL

G) Operational, audit, and error logs

We maintain technical logs to:

  • Diagnose failures and reliability incidents
  • Track sensitive actions and access events
  • Detect abuse, misuse, and security anomalies

We do not intentionally collect special-category personal data.


3) How We Use Data

We use data to:

  • Deliver requested bot and dashboard functionality
  • Authenticate users and enforce guild/page/command access controls
  • Operate subscriptions, activations, trials, renewals, grace periods, and entitlement checks
  • Generate dashboards, analytics, status pages, and game/server insights
  • Send alerts/notifications configured by guild admins
  • Troubleshoot incidents and improve reliability
  • Prevent abuse, unauthorized access, and fraud
  • Comply with legal obligations

4) Legal Bases (where applicable)

Depending on your location, we rely on one or more of:

  • Contractual necessity: to provide requested bot/dashboard/subscription functionality
  • Legitimate interests: service security, abuse prevention, diagnostics, and operational integrity
  • Consent: where a feature requires optional linking/authorization (for example OAuth linking flows)
  • Legal obligation: where disclosure or retention is required by law

5) Automated Decisions and Access Enforcement

The service performs automated entitlement checks and access enforcement, including:

  • Determining whether a guild/code remains active based on subscription state
  • Applying grace windows and expirations
  • Restricting dashboard/bot access where entitlement is inactive or expired

These checks are operational controls for service licensing and security.


6) Data Sharing

We do not sell personal data.

We may share limited data with processors/services required to operate features, including:

  • Discord (OAuth, guild/member/context APIs)
  • Patreon (OAuth and identity/subscription APIs)
  • Nitrado (where server integration features use Nitrado APIs/service metadata)
  • Hosting/infrastructure providers
  • Game/server integration providers used by enabled features

We may also disclose information where required by law or to investigate abuse/security threats.


7) International Processing

Data may be processed in countries where our infrastructure or third-party providers operate. By using the service, you acknowledge this cross-border processing.


8) Retention

We retain data only as long as needed for service operation, licensing, security, and legal compliance.

Examples:

  • OAuth state entries are short-lived and expire quickly
  • Auth sessions expire automatically (current target approximately 8 hours)
  • Patreon link and entitlement records are retained while needed to manage active/previous subscription lifecycle, audits, and dispute handling
  • Guild configuration and operational data are retained while the guild uses the service, unless deleted earlier
  • Audit/error/security logs may be retained longer for abuse prevention and incident investigation

When deletion is requested and validated, we remove or de-identify data unless legal or security retention requirements apply.


9) Security Measures

We use reasonable technical and operational safeguards, including:

  • Access controls and permission checks
  • Session handling controls
  • Logging and monitoring for abnormal activity
  • Operational restrictions around sensitive actions

No internet service can guarantee absolute security. Admins are responsible for securing their Discord accounts, server permissions, and any credentials they submit.


10) Your Rights

Depending on your jurisdiction, you may request:

  • Access to your data
  • Correction of inaccurate data
  • Deletion of data (subject to legal/security exceptions)
  • Restriction or objection to certain processing

To process a request, provide:

  • Discord user ID
  • Guild ID(s)
  • Relevant bot/service context

11) Children's Privacy

Services are not directed to children. Users must satisfy Discord's minimum age and platform requirements.


12) Policy Changes

We may update this policy at any time. We will update the "Last Updated" date when changes are made. Continued use after updates means you accept the revised policy.

These Terms of Service ("Terms") govern your access to and use of OMG Project's services. OMG Project's is also referred to as "OMG Projects" in some product/UI contexts.

These Terms apply to:

  • Discord bots (Killfeed Bot, Helper Bot, Ark Bot, Utility Bot, and Guild Bot)
  • Web dashboard and tools at https://www.omg-projects.co.uk

By inviting a bot, linking an account, using slash commands, or accessing the dashboard/tools, you agree to these Terms. If you do not agree, do not use the services.


1) Eligibility and Authority

You must:

  • Meet Discord's minimum age and account requirements
  • Have authority to manage the Discord server/guild where you enable or configure the services
  • Have permission to submit server/game files, logs, and credentials used by integrations

You are responsible for actions taken through your Discord account and server permissions.


2) Service Description

The services provide automation and management features for Discord communities and game server workflows, including moderation, logging, telemetry processing, configuration management, dashboards, tools, and alerts.

Features may be added, changed, or removed at any time.


3) License and Use Restrictions

Subject to these Terms, we grant a limited, revocable, non-transferable license to use the services.

You must not:

  • Use the services for unlawful activity
  • Abuse, spam, harass, or disrupt Discord servers or APIs
  • Attempt unauthorized access to systems, accounts, or data
  • Reverse engineer, copy, redistribute, resell, or operate the service as your own platform without written permission
  • Bypass licensing, activation, entitlement, or access controls

4) Subscription, Activation Codes, Trials, and Access Lifecycle

Access to bot features may depend on active entitlement, which can include Patreon-based subscription status, activation codes, or approved trial access.

Key rules:

  • Activation codes are license credentials and must not be shared or resold.
  • Trial and paid codes may have different entitlement behavior.
  • Entitlements can be extended, renewed, placed in grace, or expired based on subscription state and system checks.
  • If billing fails, configured grace-period behavior may apply.
  • If subscription is cancelled/inactive beyond grace, access may be suspended or removed automatically.
  • Dashboard access and bot execution rights may be restricted when entitlement is inactive.

You are responsible for keeping subscription/payment status valid where required.


5) Billing and Third-Party Payment Platforms

Where Patreon or other third-party payment providers are used:

  • Billing, charge retries, cancellations, and payment disputes are handled by that platform under its terms.
  • We do not control third-party payment processing outcomes.
  • Refund handling, if any, is subject to the applicable payment platform terms and any posted OMG Project's refund policy.

6) Dashboard and Access Control

Dashboard and tools access is controlled by authentication and permission checks, including Discord account context, guild access, role mappings, and administrator-defined page/command access rules.

We may deny or revoke access for security, abuse prevention, policy enforcement, or entitlement failure.


7) Customer Responsibilities

You are responsible for:

  • Correct configuration of your Discord roles/channels/permissions
  • Security of submitted credentials/tokens and admin accounts
  • Lawful handling of member/player data and logs processed through your server
  • Reviewing changes before applying them to live game/server configuration

You must keep independent backups of critical files and settings.


8) Third-Party Dependencies

The services rely on third-party providers (including Discord, Patreon, Nitrado where enabled, hosting, and game server APIs/providers). Outages, API changes, rate limits, or failures by third parties may impact service behavior.

We are not liable for failures caused by third-party services outside our control.

When you use integrations, you must also comply with those third-party terms and policies (including Discord, Patreon, and Nitrado terms where applicable).


9) Availability, Support, and Maintenance

Services are provided on an "as is" and "as available" basis. We do not guarantee uninterrupted availability, zero defects, or uninterrupted compatibility with external platforms.

We may perform maintenance, deploy updates, or apply emergency changes without prior notice where needed for security, stability, or compliance.


10) Data and Privacy

Use of the services is also governed by our Privacy Policy (PRIVACY_POLICY.md).

By using the services, you acknowledge the data processing described there.


11) Intellectual Property

All software, branding, layouts, code, and service content (excluding your own uploaded data/content) remain the property of OMG Project's or its licensors.

No ownership rights are transferred to you.


12) Suspension and Termination

We may suspend, limit, or terminate access immediately if:

  • You breach these Terms
  • We detect abuse, fraud, or security risk
  • Required entitlement/subscription is inactive
  • Continued service would create legal, operational, or security risk

Upon termination, access rights end immediately. Data may be deleted according to operational and legal retention requirements.


13) Disclaimers

To the maximum extent permitted by law:

  • Services are provided without warranties of any kind, express or implied.
  • We disclaim implied warranties including merchantability, fitness for a particular purpose, and non-infringement.
  • We do not warrant that outputs, analytics, or automations will always be complete, accurate, or uninterrupted.

14) Limitation of Liability

To the maximum extent permitted by law, OMG Project's and its operators will not be liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, goodwill, or service opportunities.

Our total liability for any claim arising from or related to the services will not exceed the amount paid by you to OMG Project's for the affected service during the 30 days before the event giving rise to the claim.


15) Indemnity

You agree to indemnify and hold harmless OMG Project's from claims, liabilities, damages, and costs (including reasonable legal fees) arising from:

  • Your use or misuse of the services
  • Your server content/data/configuration
  • Your breach of these Terms or applicable law

16) Changes to These Terms

We may update these Terms at any time. Updated Terms take effect when posted with a revised "Last Updated" date. Continued use after updates means you accept the revised Terms.


17) Governing Law

These Terms are governed by the laws of England and Wales, without regard to conflict-of-law rules.

We currently do not use advertising cookies.


3) Third-Party Services

Login and entitlement flows may redirect to third-party services (for example Discord OAuth and Patreon OAuth). If you open provider portals (for example Nitrado account/services pages) from dashboard workflows, those providers may also set their own cookies under their own privacy/cookie policies.


4) Consent and Control

Because the cookies listed above are strictly necessary for security and account login, they are used without opt-in consent where legally permitted.

If non-essential cookies are added in the future (for example analytics/marketing), we will request consent before setting them.

You can manage cookies through your browser settings. Disabling necessary cookies may prevent login or break dashboard/tools functionality.

Billing Lifecycle

Subscription and Cancellation Policy (OMG Project's Bots)

This policy explains how bot subscriptions, Patreon linking, activation, renewals, grace periods, and cancellations are handled.

It applies to OMG Project's (OMG Projects) bot services, including Killfeed Bot, Helper Bot, Ark Bot, Utility Bot, and related dashboard access.


1) How Subscription Access Works

Typical paid flow:

1. User subscribes on Patreon. 2. User links Patreon to Discord via Guild Bot (/patreon_link). 3. User activates service entitlement using the supported activation flow (Patreon entitlement or activation code flow, depending on bot/setup). 4. Access is granted for eligible bot(s) and guild(s) based on active entitlement.


2) Billing and Renewals

  • Billing is handled by Patreon.
  • For active subscriptions, entitlement checks run automatically.
  • On successful renewal, access remains active and eligible subscriptions/codes are extended per billing cycle logic.
  • Renewal timing and Patreon API sync timing may cause short processing delays.

3) Failed Payments and Grace Period

  • If Patreon payment fails or account status becomes temporarily inactive, a grace period may apply.
  • Current default grace behavior is configured in your Patreon settings (currently typically 5 days, unless changed in configuration).
  • During grace, access may remain temporarily active.
  • When grace expires without successful renewal, access may be suspended automatically.

4) Cancellation

  • If a user cancels subscription and no active entitlement remains after any applicable grace window, access is removed or expires.
  • This can affect:
  • Bot command access requiring active entitlement
  • Dashboard access tied to entitlement
  • Guild activation status for affected bot subscriptions
  • Provider-backed features (including Nitrado-linked integrations) that depend on active entitlement

Reactivation is possible after a new successful subscription/entitlement validation.


5) Trials and Non-Patreon Access

  • Trial codes, promotional access, or owner-approved exceptions may be issued separately from Patreon.
  • Trial access is temporary and expires on its configured date/time.
  • Trial status does not guarantee conversion to paid access.

6) Customer Responsibilities

You are responsible for:

  • Maintaining an active, valid payment method with Patreon where required
  • Keeping Discord and Patreon account linkage accurate
  • Activating the correct guild and bot entitlement
  • Monitoring entitlement expiry/grace notifications

7) Service Changes

We may change entitlement rules, tier mappings, grace durations, and activation mechanics to improve reliability, prevent abuse, or comply with policy/legal requirements.

Refund Policy (OMG Project's Bot Services)

This policy explains how refund requests are handled for OMG Project's subscriptions and related paid access.


1) General Rule

Payments are generally non-refundable once a paid period has started, except where refunds are required by applicable law.


2) Third-Party Billing

Where payments are made through Patreon or another third-party platform:

  • Billing transactions are processed by that platform.
  • Platform-specific billing terms, charge handling, and dispute rules apply.
  • Refund outcomes may depend on platform rules and transaction status.

3) Cases We May Review for Refund

We may review refund requests in good faith for situations such as:

  • Duplicate charge for the same service period
  • Confirmed technical failure caused by our service that prevented use for a substantial portion of the paid period
  • Unauthorized purchase reports, subject to verification

Approval is discretionary unless a refund is legally required.


4) Cases Normally Not Eligible

Refunds are normally not provided for:

  • Failure to configure your server/bot correctly
  • Incompatibility, outages, or API/rate-limit issues caused by third-party services (including Discord, Patreon, Nitrado, and related providers)
  • Partial use of a billing period
  • Changed mind after activation/use
  • Account sanctions or access removals caused by policy violations

5) How to Request a Refund Review

Submit a request via support with:

  • Discord user ID
  • Guild ID
  • Bot/service affected
  • Payment date and amount
  • Billing platform transaction reference
  • Short reason and evidence

6) Chargebacks

If you open a payment dispute/chargeback, associated access may be limited or suspended while the case is reviewed.


7) Statutory Rights

Nothing in this policy limits rights you may have under applicable consumer law.

This Acceptable Use Policy ("AUP") applies to all use of OMG Project's bots, dashboard, and tools.

By using the services, you agree to comply with this AUP.


1) Allowed Use

You may use the services to manage your own authorized Discord communities and game server workflows, in line with these policies and applicable law.


2) Prohibited Conduct

You must not:

  • Use the services for illegal, harmful, fraudulent, or abusive activity
  • Spam, harass, threaten, or target others
  • Attempt unauthorized access to systems, data, guilds, or accounts
  • Bypass entitlement, activation, licensing, or permission controls
  • Reverse engineer, scrape, resell, clone, or redistribute the services without permission
  • Upload/process data you do not have rights to use
  • Interfere with platform integrity, performance, or security

3) Security and Credentials

You must:

  • Protect Discord admin accounts and API credentials
  • Limit access to trusted roles/users only
  • Rotate/revoke exposed credentials promptly
  • Report suspected abuse or compromise quickly

4) Data and Privacy Responsibilities

You are responsible for ensuring your use of logs, player data, and member data complies with your legal obligations and your own server policies.


5) Platform and API Compliance

Use of this service must also comply with applicable third-party terms, including Discord, Patreon, and Nitrado platform/API rules where applicable.


6) Enforcement

We may investigate violations and take action, including:

  • Warning
  • Feature restriction
  • Temporary suspension
  • Permanent removal of access
  • Revocation/expiry of entitlements where abuse is confirmed

Serious abuse may be reported to relevant service providers or authorities where appropriate.
